Microsoft 365 or Google Workspace: how to choose

Both platforms offer corporate email, storage, video calls and collaborative document editing. The choice depends on how your organization works. Microsoft 365 usually fits when the team relies heavily on Excel, Word and desktop applications, or when a Microsoft directory already exists. Google Workspace stands out for its simplicity, browser-based collaboration and agile administration.

We compare both options according to your users, current licenses, applications and budget, and recommend the one that fits best. If you are also considering moving servers to the cloud, integration with Azure or Google Cloud is worth taking into account.

Why does corporate email configuration matter?

Email is the main entry point for impersonation and credential theft attacks. A platform with incomplete domain records, without multi-factor authentication or with open sharing permissions exposes the whole organization, even when the provider is first class.

A poorly planned migration can also leave lost emails, duplicated calendars and users without access on the first day. The difference lies in careful configuration and a change planned together with each area.

  • SPF, DKIM and DMARC records configured
  • Multi-factor authentication for every user
  • Sharing and retention policies defined
  • Migration without loss of information

Email migration step by step

A successful email migration begins with an inventory of mailboxes, aliases, lists, shared calendars and files. We prepare the new platform, create the users, copy historical information and schedule the change of domain records at a low-activity time.

During the cutover, new email starts arriving at the destination platform and the latest messages are synchronized so that nobody loses information. We give users short guides and handle questions during the first days. Before the cutover we configure SPF, DKIM and DMARC records to improve delivery and make it harder to impersonate your domain.

Account and information security

Email and collaboration accounts hold sensitive information about the organization. We enable multi-factor authentication, define who can share files outside the organization, set up alerts for suspicious sign-ins and establish retention and backup policies.

To learn how exposed your platform really is, you can request a configuration review from our cybersecurity team. And if you need to demonstrate controls over personal data, these measures feed into your compliance and governance work.

Ongoing administration

After implementation, the platform needs users added and removed, license changes, alert reviews and policy updates. We can take care of that administration as part of our managed services, or train your team to do it with documented procedures. Ongoing administration includes periodic review of security alerts, control of assigned licenses and updating policies as areas and processes change.

Licenses, costs and order on the platform

Over time, collaboration platforms accumulate accounts of people who no longer work for the organization, licenses above the level needed and shared spaces without an owner. This creates unnecessary costs and risks of access to sensitive information.

We review assigned licenses against actual use, propose the right plan for each profile and define a joiner and leaver procedure coordinated with human resources. That way each person has the tools they need, and no account stays active without control when someone leaves the organization.

Remote work and devices

Email and documents are no longer used only from the office. We configure rules for access from personal and mobile devices, for example requiring multi-factor authentication, limiting file downloads on unmanaged devices or blocking sign-ins from unusual locations. Your team can work from anywhere without putting the organization’s information at risk.

These rules are adjusted to each profile: the finance department does not need the same restrictions as the sales team in the field.

Coexistence and phased adoption

Not every organization can switch platforms in a single day. When there are many users, several offices or integrations with other systems, we plan a phased adoption: first a pilot group, then each area, with coexistence of calendars and directories during the transition. This reduces risk and lets us adjust the configuration with real feedback before involving the whole organization.

At the end of the adoption we retire the old platform in an orderly way, keeping the information that must be retained and closing accounts that are no longer needed.

Frequently asked questions

Can’t find your answer? Contact us.

Are emails lost during the migration?

It should not happen. We copy the history before the change, schedule the domain cutover at a low-activity time and synchronize the latest messages afterward, so the information is complete on the new platform.

Do you sell the licenses?

We can advise you on the right plan for each user and arrange the purchase through the appropriate channel, or work with the licenses your organization already has. We detail this in the proposal.

What are SPF, DKIM and DMARC?

They are domain records that state which servers may send email on your behalf and how non-compliant messages should be handled. They improve delivery of your emails and make it harder for third parties to impersonate your domain.

Can you migrate from traditional hosting?

Yes. We migrate from shared hosting, your own mail servers or other cloud platforms, including email, calendars and contacts when the source platform allows it.

Do you support users after the change?

Yes. We provide usage guides, answer questions during the first days and, if needed, continue managing the platform through a monthly service.

How long does an email migration take?

It depends on the number of mailboxes, the volume of information and the source platform. After the review we give you the schedule, including the day of the domain cutover.

Can we use Microsoft 365 and Google Workspace at the same time?

It is possible, for example during a transition or in groups with companies on different platforms. We recommend defining a main platform and configuring email and calendar coexistence to avoid confusion and duplicate costs.
